Common frustrations with keeping Pipedrive and Sendinblue in sync

Sendinblue only offers a Zapier connection which is universal but difficult to configure, maintain and can get expensive rather quickly. For each contact added, field updated, contact deleted or engagement created you'd need to set up a separate Zap, with multiple steps to ensure no duplicates are created and the information is synced with the right contacts.

What data does Outfunnel sync between Pipedrive and Sendinblue

Contacts and companies

  • Make all Pipedrive contacts or subset(s) you define with filters available in a Sendinblue list, along with your custom contact and company fields.

  • Keep the two databases in sync going forward. E.g. if a custom text field is updated in Pipedrive, this is updated in Sendinblue automatically.

  • Sync Sendinblue contacts to Pipedrive when they subscribe or when they open or click an email campaign (Coming soon).

Engagements

  • Record Sendinblue email engagement for contacts in Pipedrive. Outfunnel supports sends, opens, clicks, bounces and unsubscribes.

  • Record web visits and custom lead scores in Pipedrive with Outfunnel's own Web tracking and Lead scoring as additional lead signals.


How to connect Pipedrive and Sendinblue

1. Once you’ve signed up to an Outfunnel account, go to Outfunnel > App

2. Choose Pipedrive and Sendinblue as the apps to connect, go through the authentication flow and click on Create connection.

Sendinblue API key can be found under Account > SMTP & API > Generate API key

Sync contacts from Pipedrive to Sendinblue automatically

Once you've authenticated both apps you are ready to set up the contact sync.

1. In the Sync contacts tab, choose to sync all Pipedrive contacts or only contacts you’ve defined with Pipedrive person filters.

2. Next, choose which Sendinblue list you’d like the contacts to be synced to. You can sync different Pipedrive filters to different Sendinblue lists (e.g. separate email lists for different regions or pipeline stages) or you can sync multiple Pipedrive filters to the same Sendinblue list (e.g. a filter with open Deals for each sales rep, all synced to one big newsletter list).

3. Finally, select which fields you’d like to sync to Sendinblue with field mapping. You can choose all your Person and Organization fields and custom fields.

Please note that Sendinblue’s default SMS field only accepts numbers that match one of the following formats:

  • 91xxxxxxxxxx

  • +91xxxxxxxxxx

  • 0091xxxxxxxxxx

Notes

  • Outfunnel syncs around 100 contacts per minute so depending on the number of contacts it may take time before your selected Pipedrive contacts appear in Sendinblue.

  • If a contact is deleted or removed from the filter in Pipedrive, Outfunnel removes the contact from the respective list in Sendinblue. The contact still remains in the overall contact database in Sendinblue.

  • If the field doesn't exist in Sendinblue yet, you need to create this first (automatic field creation coming in soon).

  • Outfunnel runs the sync automatically every 4 hours but you can also trigger a manual sync by clicking Sync now on the connection card which will run the sync within 10 minutes.

How to copy new Sendinblue subscribers to Pipedrive automatically (Coming soon)

New Sendinblue subscribers are not copied to Pipedrive by default. If you’d like to create new contacts in Pipedrive when they are subscribed to one of Sendinblue lists, simply set up a rule under the "Sync Contacts" tab.

  1. Choose the Sendinblue list to track

  2. Assign the default contact owner

  3. Then, set up field mapping if you haven't already

Note that currently, Outfunnel creates contacts in Pipedrive. Lead creation support is coming soon.


Record Sendinblue email engagement in Pipedrive

1. In the Record engagement tab, open the Sendinblue list dropdown to select lists that you’d like to record activity from.

2. Then define how you’d like email activities like opens, clicks, bounces or unsubscribes recorded in Pipedrive – or simply use our default settings.

Notes

  • You can change engagement settings at any time by clicking on the Edit button on the Connection under App connector.

  • The engagement sync happens in near real-time so it gets synced to Pipedrive as soon as an engagement is recorded in Sendinblue

  • Outfunnel only records engagement from single email campaigns. Unfortunately, automations and transactional emails are not supported as Sendinblue does not provide access to these via API. We recommend reaching out to Sendinblue to request this as a feature.

That’s it! You’re ready to start sending Sendinblue campaigns to Pipedrive contacts and seeing email engagement recorded in Pipedrive.


Monitor synced contacts and engagements

Once the connection is live, navigate to the Status tab to see key information about the connection, such as when were events last synced and which events have been synced. Please note that each event counts towards your billing quota.


Tips, observations, and useful definitions

💡 Outfunnel supports two ways to manage your contacts between Pipedrive and Sendinblue

  • Option A. Master database of all contacts in Pipedrive, contacts synced to Sendinblue for emailing via Outfunnel. To enable this, first collate your whole contact list (Pipedrive + Sendinblue) into Pipedrive and sync all contacts, or a selection you define with Pipedrive filters, into Sendinblue with Outfunnel.

  • Option B. Contact list in Sendinblue is separate from prospect/customer list in Pipedrive. If a contact, defined by their email address, exists in both Pipedrive and Sendinblue, we log email engagement to Pipedrive to the right contact.

💡 Best results with a new list. We recommend setting up a brand new Sendinblue List to ensure everything works flawlessly, but syncing data to an already existing list works as well in most cases.

💡 Sync frequency. Outfunnel syncs some data instantly and some every 4 hours (approximately). You can force a sync when you click on the headline of an Automation and then click the “Sync events now” button.

💡 Activities are added to my calendar. Please note that if you've set up calendar sync in Pipedrive, then all activities are automatically added to your Google or Outlook calendar. To turn this off simply uncheck Outfunnel activity types in Pipedrive > Company Settings > Calendar Sync

These are the types that Outfunnel creates: Newsletter Sent, Newsletter Opened, Newsletter Clicked, Newsletter Bounce, Newsletter Unsubscribe, Contact Created, Newsletter Reply, Form Submitted, Visited Website

💡 Unsubscribe recording. Outfunnel only records end-user initiated unsubscribes in Pipedrive and manual unsubscribes in Sendinblue are not recorded. When a contact is unsubscribed manually but they still match a filter in Pipedrive that is targeted by a connection, then Outfunnel will resubscribe them in Sendinblue. If you'd like to manually remove a contact in Sendinblue, they need to be permanently deleted under the contact profile in Sendinblue.

💡 Single source of truth is Pipedrive. Outfunnel currently treats Pipedrive as the “single source of truth”, and any changes you make in Pipedrive will be reflected in Sendinblue. This doesn’t work the other way around. If you’d like to edit the contents of a field in Sendinblue, please make the changes in Pipedrive and let Outfunnel take care of syncing this to Sendinblue.

💡 Supported campaign types. Outfunnel currently supports single email campaigns. Unfortunately, automations and transactional emails are not supported as Sendinblue does not provide access to these via API. We recommend reaching out to Sendinblue to request this as a feature.


💡 Notifications. If you’d like to receive email notifications about people opening and/or clicking your newsletters, you’ll need to turn on Email notifications feature in Pipedrive. (See how). Once enabled, each user can turn on Email notifications by going to Settings > Personal > Preferences > Notifications.
